What is an import and export mandate?

Entrusted import/export is the hiring (outsourcing) of an import and export service business unit to organize and perform activities of exporting/importing goods for the seller/buyer.

Who is authorized to import and export?

“Why do companies need a third party to support import and export trust?” is the question most frequently asked here. This is because these businesses fall under the following categories:

  • The company performs all functions. However, when there is a brand new product, firms realize that they lack sufficient experience in importing (especially for things that are difficult to import into Vietnam or require a variety of papers and procedures,). At this moment, businesses are likely to hire companies that specialize in import and export trust services. Because these organizations have extensive experience in import and export trust, challenges will be resolved promptly.
  • Newly established enterprises, not fully aware of the procedures and forms of working with customs office.
  • As an individual who is not an organization or a company, there is absolutely no function for import and export.
  • Enterprises with import and export function. However, the products that the company wants to import and export are not on the list of goods allowed to be imported/exported. Because each business is only allowed to import and export certain products in the license.

Benefits of import and export entrustment

  • Cost savings: Compared to investing in a separate import-export department, hiring an outside trustee company will save costs. You only have to pay the cost of hiring an import-export service for each import or export of a certain shipment. Moreover, these units have well-trained and professional staffs, have good relationship with shipping lines, customs… their cost will certainly be lower than the self-implementation cost.
  • Time-saving: Each item depends on the time, there are different requirements for documents and customs procedures, so it often takes a long time to update. However, outsourcing companies do this work on a daily basis, so they will be proficient and sure to solve the problem quickly.
  • Minimizing risks: Hiring an outside entrustment company helps to minimize the risks that occur in export activities. Because these companies will be responsible for errors in documents and procedures.
Ensure operational stability:   Important documents are stored carefully. Make sure there is no interruption in your freight.
  • Improve quality and efficiency: Import-export service providers will find ways to save time and shorten the shipping process. To help your goods arrive faster.

Import and export entrustment implementation process

Step 1: On the basis of negotiation between the goods owner and the entrusting party, both sign a contract specifying detailed and specific terms.

Step 2: The goods owner will provide documents and vouchers related to the imported/exported goods to the consignee.

Step 3: The entrusting party completes the set of import/export documents (invoice, packing list, C/O, …) and completes the necessary customs procedures to import/export the goods.

Step 4: Regarding tax payment, the entrusting party can pay by itself or ask the trustee to pay according to the initial agreement in the contract between the two parties.
